FLSA: Non-exempt Hourly

Department: Police

Reports to: Chief of Police

Position Overview: The Administrative Assistant is critical to the operation of the Police Department. The Administrative Assistant must have good organization skills to maintain all police records. Administrative Assistant must have a pleasant attitude toward the public and their concerns. Administrative Assistant is responsible for the accomplishment of specific duties and any other work task deemed appropriate by the Chief of Police.

Essential Job Functions

  • Provides customer service by greeting and assisting visitors and answering questions
  • Answers incoming calls, takes messages accordingly, routes calls to correct personnel
  • Generates, prepares, monitors, edits, and distributes a variety of internal and external correspondence, reports, manuals, and agreements
  • Maintains records and databases by creating, updating and maintaining files and records
  • Scans files into electronic document management system
  • Provides assistance to other departments and special projects as requested
  • Responds to requests from attorneys and other government agencies
  • Runs criminal background checks on suspects and defendants for officers and runs criminal background checks on applicants for city employment (paid or volunteer)
  • Custodian of evidence/property room
  • Receives, processes and stores evidence; maintains evidence in a secure manner and is responsible for the overall security of the evidence room and its contents
  • Tracks evidence when it is checked in and out of area; ensures the chain of custody is never broken or compromised; Keeps abreast of status of investigations pertaining to evidence; Signs evidence in and out for officers/investigators for court purposes
  • Keeps informed of all regulations pertaining to evidence; Conducts briefings to new department personnel regarding evidence procedures;
  • Purges evidence and recovered property in accordance with applicable laws by destroying, returning items to owner, transferring to agency use, or submitting for auction;
  • Uses AOC Computer to determine disposition of court cases; Coordinates with agencies and individuals referencing disposal of property and evidence no longer needed;
  • Conducts file checks to initiate final disposition actions; Interprets and applies state laws and regulations regarding the use and disposition of evidence; prepares letters for return of property to owners; checks proof of identification and/or ownership of property and releases as appropriate; performs background check for weapon release (DCI); Releases seized and/or impounded vehicles; maintains appropriate records and mails seized driver's licenses to Department of Motor Vehicles; Ships recovered stolen property to owners and other agencies;
  • Plans and coordinates the auction sale for unclaimed property.

Requirements

  • Maintain certification as Notary Public
  • High School Diploma or equivalent
  • NCIC/DCI Certification
  • Background and Drug Screening
  • Valid Driver's License

Other Skills/Abilities

  • Proficiency in Computer skills
  • Proficiency in arithmetic, as well as spelling, grammar, punctuation and proofreading
  • Knowledge of the Zuercher/CentralSquare records systems is helpful
  • Knowledge of CJ Leads and Leads Online is helpful

Special Notes:

  • This position will require extra duties for the crime prevention / community policing activities of the department.
  • This position will require some work on Saturdays (6 or less per year)
  • This position will require some evening work (6 or less per year).
  • This position may require extended hours during potentially disastrous weather or other events

Pay Grade: 2 - Salary Range $31,084 to $49,722
